GUIDE / OCTOBER 2026

Shrink a photo.
Fit every service.

Email servers, Discord, and passport portals all want different maximum sizes — and none of them explain it well. Here's what each one actually needs, and how to hit the number.

Short answer: think in three targets — under 1 MB for email photos, under 10 MB for Discord (any compressed phone photo clears this), and exactly the stated limit (often 240 KB–2 MB, plus pixel dimensions) for passport and visa portals. Then compress to that number with toolpantry.app/compress-image-to-1mb (or one of the sibling target pages).

By the Tool Pantry team, October 2026. Measured with Chrome 130 on an 843 KB, 4032×3024 test image.

The size each service actually wants

ServicePractical targetWhy
Emailunder 1 MB per photo25 MB total cap is common, but large attachments annoy and trigger filters
Discordunder 10 MB (free tier)any compressed phone photo clears this easily
Passport / visa portalsthe stated numbers, exactlyoften 240 KB–2 MB with fixed pixel sizes; they reject oversize and undersize
Job and school formsusually 2 MBleave a 10–20% margin below the stated limit

What shrinking actually looks like

We took an 843 KB photo (4032×3024) and ran it through our target-size compressor at several ceilings.

TargetResult
200 KB198.4 KB, 2200×1650
500 KB396.1 KB, 2200×1650
1 MB396.1 KB, 2200×1650
2 MB396.1 KB, 2200×1650
5 MB396.1 KB, 2200×1650

Two things worth noticing. Above the 500 KB target the tool returns the same 396 KB file — it doesn't pad a file to reach your ceiling, it just stops improving once the picture needs no more bytes. And the long edge settles at 2200 px because the tool won't upscale; for a phone photo that's a gentle, honest reduction. For passport-style portals, that resolution is still far above what they ask for (usually 600–900 px squares).

How to hit an exact number

  1. Open the target page that matches your limit — 1 MB, 2 MB, 500 KB, 200 KB, or 100 KB.
  2. Drop the image in, keep JPG output, and download.
  3. If the portal also states pixel dimensions, check the result's dimensions before uploading — most passport specs are small squares, which the 2200 px output exceeds (safe, since portals usually crop or reject only oversize files, but read their rules).

One habit worth keeping: never overwrite your original. Compress a copy, and keep the full-size photo for printing or future requests.

QUICK ANSWERS
What size should an image be for email?

Under 1 MB per photo is the safe habit — attachments usually cap at 25 MB total, but big photos annoy recipients and trigger spam filters more often.

What is Discord's upload limit?

Around 10 MB on the free tier. The same compressed image that works for email will always fit.

What do passport and visa portals want?

Commonly 240 KB to 2 MB, often with pixel dimensions spelled out (for example 600×600). Compress to the stated numbers, not to "as small as possible".

Does reducing size hurt quality?

At target sizes of 500 KB and up, our test photo kept the same quality and resolution. At 200 KB and below the tool reduces gently — on screen it is still fine; for printing, keep a bigger copy.
