"File too large."
Fix it in a minute.
Portals and forms reject oversized PDFs constantly — 2 MB, 5 MB, 10 MB limits, usually on scans you can't easily re-do. Here's how to get under the line without special software.
Short answer: open toolpantry.app/compress-pdf, pick the file and a level (Balanced to start), and download. In our test, a 3-page scan dropped from 793 KB to 122 KB at Strong — 85% smaller. Nothing gets uploaded.
By the Tool Pantry team, October 2026. Measured with Chrome 130 on a 3-page 793 KB scan PDF; the same tool runs in any browser.
The fast fix
- Open toolpantry.app/compress-pdf and choose the rejected file.
- Pick a level. Balanced first; if the portal still complains, redo it at Strong.
- Download and re-submit. Keep the original file on your machine.
What each level gave us
We built a 3-page scan-like PDF — the kind of document upload portals are fussy about — and ran it through the levels.
| Level | Result | Readability |
|---|---|---|
| Strong | 793.4 KB → 122.1 KB (−85%) | Soft on fine print, fine on screen |
| Balanced | 793.4 KB → 319.7 KB (−60%) | Close to the original |
| Light | often little or no gain | Use only if quality is critical |
Scans compress beautifully because they're photos of paper. Every level is enough to clear a 2 MB limit in our test — and Strong clears even a 500 KB limit.
When compression isn't the fix
A mostly-text PDF — a bank statement, a lease, a report exported from Word — can actually grow when rasterized, and it loses selectable text in the process. Our compressor says so in plain words when it can't shrink a file; believe it and keep your original. Two better moves for those:
- Only a few pages are heavy? Split the PDF and submit the heavy pages separately, or compress just that part.
- Does the portal accept images? Convert the pages to JPG — often the smaller file already.
- Building the PDF yourself? Shrink the source photos first with the image compressor, then combine them with Merge PDF.
Common limits, for reference
Most job and government portals cap uploads somewhere between 2 MB and 10 MB; email attachments often stop at 25 MB total. Aim a comfortable margin below the stated limit — 10–20% — because some forms re-check after their own processing.
How small can a PDF get?
In our test, a 3-page scan went from 793 KB to 122 KB at the Strong setting — an 85% cut. Scans compress far better than text documents.
Will compressing break my PDF?
The layout survives. What you lose is selectable text — pages become images. Keep the original for anything you still need to copy from or edit.
Is there a file size or privacy catch?
No account, no watermark, no upload. The compression runs in your browser, so the document never leaves your device.
What if it still says the file is too big?
Split the PDF and submit the heaviest pages separately, or convert the pages to JPG if the portal accepts images. Both are linked above.
